Corporate event photography

Corporate event photography in Brazil is coverage of a conference, trade fair, incentive trip, product launch or company dinner, priced from $900 for 4 hours and 250 edited photographs delivered within 7 days. It is quoted from the programme rather than fixed, because an evening launch in a São Paulo rooftop and a three-day incentive trip to Trancoso or Foz do Iguaçu are different jobs. The buyers are event agencies, destination management companies and in-house marketing teams who need pictures for a post-event report, sponsors, the press office and next year’s sales deck.

São Paulo is where most of this work happens: trade fairs and congresses fill the São Paulo Expo, the Distrito Anhembi and the Transamerica Expo Center, and launches run in hotels along Avenida Paulista and Faria Lima. Work starts with the run of show. The photographer reviews the agenda with the organiser and agrees a must-have list — each keynote, the full auditorium from the back, sponsor stands and branding, award handovers with the right executives in frame. Brazilian convention centres and hotels commonly register every outside supplier, so send the venue the photographer’s full name, document number, arrival time and equipment list, and confirm with the agency whether a supplier badge, insurance or a specific load-in gate is required.

An incentive trip adds days away from the ballroom: a welcome cocktail on the beach, a boat trip, a walk at the Parque Nacional do Iguaçu, the awards night and a farewell dinner. Each is quoted by its hours, and national parks, concessionaires and boat operators set camera rules of their own, so share their names early. Attendees who prefer not to be photographed should be able to say so: a coloured lanyard or badge sticker, and a clear line in the registration form about how event photographs will be used, which is also part of how the organiser meets the Lei Geral de Proteção de Dados Pessoais (LGPD, Lei 13.709/2018).

For a filmed recap or speaker clips, event videography is the separate service; for leadership portraits made on the same trip, headshot sessions fit between blocks of the programme. A private celebration — a wedding, a festa de 15 anos — is covered by its own service, not this one.

Questions about corporate event photography

What does corporate event photography in São Paulo cover?

Corporate event photography in São Paulo covers what an organiser reports on afterwards: keynote speakers, the full auditorium, networking, sponsor stands, awards and the closing dinner, plus venue branding. The base booking is 4 hours and 250 edited photographs; multi-day conferences and trade fairs are quoted from the programme.

Can corporate event photography cover an incentive trip outside São Paulo?

Corporate event photography for an incentive trip to Trancoso, Fernando de Noronha or Foz do Iguaçu is quoted day by day from the agenda: the welcome cocktail, excursions, the awards night and the farewell dinner each get their own hours. National parks and boat operators set their own camera rules, so share the excursion operators’ names early.

Does a convention centre need to approve the corporate event photographer?

Convention centres and hotels in Brazil commonly register every outside supplier working an event, so send the venue the corporate event photographer’s full name, document number, arrival time and equipment list in advance. Ask the venue and the event agency whether a supplier badge, liability insurance or a set load-in gate is required.

How can attendees opt out of corporate event photos in Brazil?

Corporate event photography respects opt-outs when the organiser plans for them: a coloured lanyard or badge sticker for people who prefer not to appear, and a line in the registration form explaining how event photographs will be used, which also helps the organiser meet its duties under Brazil’s data protection law, the LGPD.
